Guidelines for Effective Messaging

Message Subject Line
Be very specific in the subject line so that members can decide whether to open and read your message. Examples:

  • Office to rent in Santa Clara
  • Looking for consultant w/ expertise in gambling addiction
  • Seeking EMDR referral in San Mateo
  • Opening new practice in Los Gatos
  • Announcing eating disorders group in San Jose
  • Question regarding informed consent w/r client phone calls

Message Content
The SCV-CAMFT Chapter Exchange is a great tool for networking, finding resources and referrals, and discussing issues such as office policies, insurance-related concerns, and legislative issues. Please review the following guidelines regarding message content:

  • Content is to be directly related to our work as mental health providers;
  • Please limit announcements of upcoming events and offerings to two postings. These must be your events or offerings and part of your practice. Please refer third parties who would like to announce their events and offerings to the chapter administrator (mail@scv-camft.org) for rates.;
  • Keep messages brief;
  • Messages are limited to 1,000 characters (including spaces);
  • Refer members to relevant websites for additional information about trainings, etc.;
  • Do not send virus warnings, jokes, petitions, political endorsements, or other mass mailings;
  • Obtain permission from an individual before forwarding a private message to the entire SCV-CAMFT Chapter Exchange;
  • Maintain a respectful tone towards your colleagues who may hold differing opinions;
  • Please review your message before submitting for accuracy.

NOTE: Non-members who request that you post to the SCV-CAMFT Chapter Exchange for them should be directed to the chapter's website and invited to join our professional organization. Members and non-members alike are welcome to advertise on our website and in our bi-monthly newsletter.

Replying to SCV-CAMFT Chapter Exchange Messages
Each SCV-CAMFT Chapter Exchange message includes a "Click here to reply." link immediately following the body of the message. This link will direct your Internet browser to the SCV-CAMFT Chapter Exchange input form on the chapter's website, where you may post a reply responding directly to the SCV-CAMFT Chapter Exchange message concerned. Please use ONLY the "Click here to reply." link to reply to any given message. DO NOT use your e-mail's "reply" feature as e-mail replies will not be received. Following these reply guidelines will minimize the number of messages participants receive and keep the various SCV-CAMFT Chapter Exchange topics contiguous and coherent.

Legal and Ethical Considerations
In order to comply with CAMFT's ethical standards and the laws that govern our profession, it is important to consider the following when posting to the SCV-CAMFT Chapter Exchange:

  • Fees:
    Any discussion of our professional fees is strictly prohibited per anti-trust laws. References to policies and practices regarding fees are allowable as long as no actual fees are disclosed.

  • Confidentiality and Privacy:
    Privacy is a fundamental right of every person who consults with a therapist. The protection and preservation of client confidentiality is one of the most important tenets of our profession. When making a referral or seeking resources for a client or potential client, be careful not to divulge too much identifying information. Ask yourself, "If someone knew this person, could they possibly recognize him or her from these details?" "Less is best" when it comes to discussing our cases online.
    In the context of the SCV-CAMFT Chapter Exchange, gender, approximate age, presenting issue, and geographic location are usually enough to give a sense of the client.

NOTE: If in doubt about the appropriateness of a message you would like to post, please don't hesitate to contact the SCV-CAMFT Chapter Exchange Team at mail@scv-camft.org

Changing Your SCV-CAMFT Chapter Exchange Information
Direct your Internet browser to http://www.scv-camft.org/Members/Login.aspx and then log in as a member.

  • To change your e-mail address, select the "Edit Profile" link, delete the existing information, then enter the new one and proceed to click "Finish."

  • To add or remove yourself from the SCV-CAMFT Chapter Exchange, click on the link marked "SCV-CAMFT Chapter Exchange Preferences," make the selected change and click on "Subscribe" or "Unsubscribe" accordingly.

  • Select the "individual emails" to get an email each time someone posts to the SCV-CAMFT Chapter Exchange. This gives you almost instant access to a post.

  • Select the "Daily Digest" if you wish to get only one email a day containing all posts for that day. Because the Daily Digest is complied, messages posted prior to 11 PM on that day are then complied and sent out at about 11:30 PM. Some members like fewer communications - this would be your choice for that.

Checking Your Message or Searching For Messages
Use the Chapter Exchange Search to find messages containing keywords. For example, to look for your own messages, type your last name into the search field. You'll see any messages that you have sent or replied to.

Want to look up an older message? Put in a keyword or keyword to search for and the messages matching that search criteria will be displayed.

Did My Message Go Out?
You can search for a message you've posted using the Chapter Exchange Search.

I'm Not Receiving the Chapter Exchange Emails
First, be sure your preferences are set so you receive the Chapter Exchange. Your membership also needs to be current; check your membership status with the Membership Renewal History.
Some email clients often block or think mail is spam. Please check the spam, junk mail or trash folder on your email to see if the email from the Chapter Exchange is being trapped by spam filters.

Terms of Use
Adherence to these guidelines is required for members to participate in the SCV-CAMFT Chapter Exchange. If a posted message does not comply with established guidelines, the SCV-CAMFT Chapter Exchange Team may contact the member individually and may also issue a general reminder to the entire SCV-CAMFT Chapter Exchange.
